Job Description:

The Regional Office Manager oversees the daily operations, administrative efficiency, and team leadership across multiple medical offices within our multispecialty private practice in New York City. This role ensures consistent operational performance, superior patient service, and engaged, well-supported staff. Partnering closely with executive and clinical leadership, the Regional Office Manager drives operational excellence, strengthens business performance, and supports the organization’s continued growth and strategic objectives.

Responsibilities:

Office Operations & Leadership

  • Direct daily administrative operations across multiple locations, ensuring smooth, coordinated workflows and consistent service standards.

  • Develop and implement standardized office policies, procedures, and best practices to maintain efficiency and regulatory compliance.

  • Monitor adherence to HIPAA, OSHA, and New York State healthcare requirements.

  • Conduct regular site visits to assess performance, workflow efficiency, and overall patient and staff experience.

Administrative & Team Management

  • Supervise front- and back-office teams, fostering a cohesive and professional environment.

  • Support staff development through coaching, performance reviews, and mentoring.

  • Manage timekeeping, payroll accuracy, and staffing levels to align with patient volume and operational needs.

Provider & Clinical Support Coordination

  • Serve as liaison between office staff, physicians, and management to ensure effective communication and workflow alignment.

  • Oversee scheduling, patient flow, and office support functions to maximize productivity and service quality.

  • Coordinate with clinical leadership to address operational challenges and support physician needs.

  • Assist with onboarding and credentialing documentation in partnership with the administrative and revenue cycle teams.

Patient Experience & Quality Improvement

  • Implement systems that improve the patient experience from scheduling to check-out.

  • Track and respond to patient feedback, identifying opportunities for service enhancement.

  • Partner with quality and compliance teams to ensure adherence to safety, service, and care standards.

Financial & Operational Oversight

  • Manage office budgets and review monthly performance metrics to ensure financial health and resource efficiency.

  • Analyze revenue, expenses, and productivity to recommend strategies for cost control and operational improvement.

  • Approve invoices, purchasing, and supply requests to ensure fiscal responsibility.

Strategic Planning & Growth

  • Collaborate with leadership on business development and operational expansion initiatives.

  • Support planning and execution of new site openings or office relocations.

  • Participate in leadership meetings and contribute to decisions impacting regional performance and organizational goals.

Qualifications:

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related discipline (Master’s preferred).

  • Minimum 5 years of experience in office or practice operations management within a multi-site healthcare setting.

  • Proven ability to lead teams, improve efficiency, and enhance patient experience.

  • Knowledge of healthcare compliance standards, staffing management, and workflow optimization.

  • Strong communication, organizational, and analytical skills.

  • Proficiency with electronic health record (EHR) systems, Microsoft Office Suite, and practice management software.
